Overview

ISS is seeking a talented, customer-focused Recruiting & On-boarding Coordinator to join our APAC Recruiting Team in our Manila and Mumbai office.   We currently are working remotely but this role will be expected to be serviced in the office once we return.  The Coordinator will support new joiner onboarding activities related to pre-employment collection of requirements and timely communication with new joiner, HR, and hiring managers for a busy high growth region.  This is a highly interactive role that would benefit from a customer focused, high energy, well organized, detail oriented team member.  The primary focus of the role will supports Recruiting and HR and reports to a Regional Recruiting Onboarding Lead to support regional onboarding activities.   Additional responsibilities include scheduling and test administration support and a limited amount of full life cycle recruiting for internship and college recruiting initiatives.

The position is expected to be responsible for Recruitment and On-Boarding Coordination for the Philippines, Japan, Hong Kong, Singapore and Australia offices, in supporting, managing the execution of processes for Recruitment support and on-boarding and induction of new joiners.

Responsibilities

RECRUITMENT

Assist in the end-to-end Recruitment process including:

  • Provide support in sourcing, screening and interviewing activities for assigned accounts utilizing existing channels and recommend other cost-efficient sourcing initiatives – this area will focus on hiring interns, school recruiting or some proxy temp support on a seasonal basis.
  • Assist in administering and scoring pre-qualifying examination
  • Assist in arranging interview schedules for activities, interviewers/hiring managers who may be based on various regional/global offices
  • Data/ Candidate management in the Workday (WD) applicant tracking system, other testing tools, background check systems and other trackers
  • Generation and distribution of offer letters/employment contracts
  • Communicate the offer acceptance of candidate and target start date to Hiring Manager/Team, HR, IT and CS
  • Initiate background checks, medical checks and other mandatory pre-employment requirements

ON-BOARDING

Manage the on-boarding administration process when employees join the company including:

  • Distribute, collect and track on-boarding paperwork
  • Save all returned on-boarding paperwork onto electronic files
  • Monitor the background checks, medical checks and other mandatory pre-employment requirements and liaise with the respective vendor on status/progress.  Ensure checks are successfully completed before start date.
  • Disposition the candidate’s profile to “Hire” status and ensure that they are hired in WD immediately after receiving the signed offer letters/ employment contracts or at least 3 weeks prior start date
  • Send First Day Instruction email to candidates for on-boarding.

GENERAL ADMINISTRATION

  • Maintain accurate data in all HR Systems on timely basis (Workday is primary HR system with other databases interface)
  • Creation and maintain electronic and physical employee files ensuring they are up to date and accurate for our employees and stored correctly
  • Provide HR-related statistics & reports as per requirements
  • Evaluate vendor resources for accuracy
  • Other recruiting and on-boarding related ad-hoc tasks

Qualifications

  • Graduate of Bachelor’s degree in Psychology, Human Resources, Business Management or other related discipline
  • Minimum 1 year working experience in Human Resources Recruitment/Operations/Administration in a matrix, international organization
  • Excellent communication skills, both written and verbal.  English fluency required.
  • Demonstrated ability to understand, organize and analyze concepts behind work scope and initiate solutions
  • Confident yet positive, results-focused, and enthusiastic attitude
  • Detail oriented and highly organized to manage hiring timelines procedures
  • Professional and proactive; flexible with strong work ethic
  • Excellent team player, able to work with minimum supervision
  • Strong interpersonal skills, friendly and approachable
  • Ability to provide efficient and reliable assistance, whilst maintaining attention to detail
  • Can handle details with strict confidentiality and care
  • Highly trainable and with willingness to learn and expand knowledge on HR functions
